How to run a marketing team without spreadsheet chaos
By Team Marketella · · 6 min read
The short answer
Put every project, owner and deadline in one shared workspace, give each item exactly one owner and one status, and review it together weekly. Spreadsheets break because they hold data, not decisions.
Why spreadsheets stop working
Spreadsheets are great on day one. By month three there are copies of copies, nobody knows which tab is true, and deadlines live in someone's head.
The problem isn't the grid. It's that a spreadsheet can't tell you who's blocked, what's late or what changed since Monday.
Centralize the three things that matter
Every marketing item needs the same three answers.
1. What is it?
A project — a launch, an event, a campaign — with tasks underneath. Group them by marketing area so the event team and the content team see their own world.
2. Who owns it?
One name. Not a team, not "we". Shared ownership is no ownership.
3. When is it due — and what's its status?
Use a small, fixed set of statuses: Planned, In Progress, Blocked, Done. Anything more becomes noise.
Make it visible
A list is for doing. A calendar is for planning. Your team needs both, built on the same data, so nothing gets out of sync.
- Personal view: what's on my plate today
- Area view: what's happening in Events this month
- Calendar view: everything, color-coded
Keep the ritual small
A 15-minute weekly review beats a perfect system nobody opens. Look at Blocked first, then anything due in the next seven days. Done.
